How to ask for a letter of recommendation [With sample email]

When asking for a letter of recommendation, follow these steps:

1. Choose the right person.

Consider individuals who know you've worked closely with and can speak positively about your skills with examples. This could include professors, employers, mentors, or supervisors. Remember, the position of the person is not nearly as important as how well they can write about about you. A personal letter from your direct supervisor is better than a generic letter from the CEO of your company or University Dean. Ideally the person you're asking is from the same field as the position you are applying to.

2. Provide supporting information.

Make it easy for the recommender to highlight your accomplishments and personal strengths. Offer your updated resume, transcripts, and a small write up highlighting the work you've done together. It might feel a little awkward to brag about yourself, instead put the spotlight on the challenges overcome and achievements of the project. Make sure to include the description of the program you're applying to.

3. Give them time.

Plan ahead so that your recommender has ample time to write the letter. Ideally, ask at least a few weeks before you need it.

4. Ask in person, followed by a formal request.

Before sending an email asking for a letter of recommendation, ask the recommender in-person. Tell them about which program you're applying for, your career plans and why you believe they would be an excellent recommender for you. Remember, the people who know you well are likely rooting for your success and willing to assist. Teachers and professors, in particular, are accustomed to writing recommendation letters.

5. Follow up and say thank you.

After they agree to write the letter, send a thank-you note expressing your appreciation. Provide necessary details such as deadlines, submission instructions, and any other relevant information. This is the right place to add your supporting information. Also, share the good news if you have received an admit / job.

6. Respect their decision.

Understand that not everyone may be able to write a recommendation letter for several reasons. This may not have anything to do with you personally. Be gracious and thank them regardless of their decision. A weak reference letter hurts your application. It is much better to ask someone else who can give you a strong recommendation.
